Most seismic data owners know they should catalogue their archive. Fewer know when. The answer is usually "before you need it", but that is not helpful advice when you are running a business and cataloguing feels like a project that can wait.
This article describes the trigger events that move cataloguing from "someday" to "now", explains what happens when you wait too long, and lists the questions you should ask any vendor before you ship your first box.
What cataloguing means
A seismic data catalogue is an index that tells you what data you have, where it is, and what condition it is in. At minimum, a catalogue entry includes:
- Line or survey name
- Location (coordinates or DLS)
- Vintage (year acquired)
- Media type (tape format, disk, paper)
- Products available (field, processed, migrated, support files)
- Physical location (which box, which shelf, which facility)
A good catalogue also includes geometry that can be plotted on a map, quality notes (is the tape readable?), and links between related items (field tapes, processed stacks, and support files that belong to the same program).
Cataloguing is not the same as storage. You can store boxes without cataloguing them—many companies do. But storage without a catalogue is just warehousing. You know the boxes exist. You do not know what is in them without opening each one.
Trigger events: when "someday" becomes "now"
Certain events force the cataloguing question. If any of these apply to you, the answer is probably now.
Acquisition or divestiture
When a company buys or sells assets, the seismic data goes with the land. Buyers want to know what data they are getting. Sellers want to prove what they have. A catalogue is the document that answers both questions.
Without a catalogue, due diligence stalls. The buyer sends a list of townships and asks what coverage exists. The seller cannot answer without physically searching boxes. That takes time the deal may not have. Worse, it creates doubt: if the seller does not know what data they own, what else do they not know?
A data room with a searchable catalogue is a data room that closes deals. A data room with "we think there's some seismic somewhere" is a data room that creates risk.
Staff retirement or turnover
In many companies, one person knows where the seismic data is. That person remembers which tapes are in which warehouse, which labels are wrong, and which boxes contain the only copy of a critical velocity analysis from 1987.
When that person retires, the knowledge leaves with them. A catalogue captures institutional memory before it walks out the door. If the person who knows your archive is within five years of retirement, cataloguing is already urgent.
Lease returns and relinquishments
When you return a lease, you may be required to return the seismic data or offer it to the lessor. You cannot return data you cannot find. A catalogue lets you identify which data applies to which lease, pull the relevant tapes, and document what you returned.
Insurance and asset valuation
Seismic data has value. Replacement cost for a seismic program can run into millions of dollars, and some programs cannot be replaced at all because the area is now developed or the permits are no longer available.
Insurance requires documentation. A catalogue is that documentation. It lists what you have, where it is stored, and what it would cost to replace. Without a catalogue, you are insuring "some boxes of tapes" and hoping that description holds up when you file a claim.
Tape aging and format obsolescence
Magnetic tape degrades. The rate depends on storage conditions, but all tape has a finite life. Data on 9-track reels from the 1970s is already at risk. Data on 3480 cartridges from the 1990s will follow.

Office move or facility consolidation
Moving boxes is expensive. Moving boxes you do not need is more expensive. A catalogue tells you what is in each box so you can decide what to move, what to dispose of, and what to consolidate.
Many companies discover during a move that they have multiple copies of the same data in different locations, or that they are paying storage fees for data they no longer own. Cataloguing before a move pays for itself in avoided costs.
The cost of not cataloguing
Cataloguing costs money. Not cataloguing costs more, but the costs are hidden until they arrive all at once.
Retrieval delays
Without a catalogue, every data request becomes a search project. Someone has to find the right box, open it, check the contents, and hope the tape inside is the one you need. If it is not, repeat the process. A request that should take an hour takes days.
Duplicate acquisition
Companies sometimes acquire seismic data they already own because they cannot find evidence that they own it. The cost of the duplicate acquisition is wasted. So is the time spent negotiating a deal for data that was already in the warehouse.
Failed data rooms
A data room that cannot answer basic questions about seismic coverage makes buyers nervous. Nervous buyers lower their bids or walk away. The cost of a failed data room is measured in deal value, and it is always larger than the cost of cataloguing.
Unrecoverable data
Tapes that sit uncatalogued also sit unmonitored. By the time someone opens the box, the tape may be unreadable. The data is gone. If it was the only copy, the loss is permanent. Cataloguing includes condition assessment, which identifies at-risk tapes before they fail.
Minimum viable catalogue
A complete catalogue is ideal. A minimum viable catalogue is better than nothing. If budget or time is limited, start with these fields:
- Identifier: A unique ID for each item (tape number, barcode, or assigned ID).
- Description: What the item is (line name, survey name, product type).
- Location: Where the item is stored (facility, room, shelf, box).
- Condition: Is the tape readable? Is the label legible? Any visible damage?
Coordinates, vintage, and detailed product breakdowns can come later. The minimum viable catalogue lets you find items and assess their condition. That alone solves most urgent problems.
Questions to ask before you ship boxes
If you decide to catalogue with an external vendor, ask these questions before you send the first shipment:
What fields will be captured?
Get a list. Make sure it includes the fields you need. If you want coordinates plotted on a map, confirm that the vendor captures geometry, not just text descriptions.
How is condition assessed?
Condition assessment ranges from visual inspection (label legible, no visible damage) to full read verification (tape mounted, data read, checksums confirmed). Full verification costs more but tells you whether the data is actually recoverable. Know what level you are paying for.
What happens to unreadable or orphan items?
Some tapes will be unreadable. Some will have no label or documentation. A good vendor tells you about these items in writing and keeps them separate until you decide what to do. A bad vendor throws them in a corner and forgets.
How is the catalogue delivered?
Ask for the format. Spreadsheet, database, online search portal? Can you export the data if you change vendors? Is there an API? The catalogue is your asset. Make sure you can access it the way you need to.
What is the ongoing maintenance model?
A catalogue is not a one-time project. New data arrives, old data leaves, conditions change. Who updates the catalogue? How often? What does it cost? A catalogue that goes stale six months after delivery is not much better than no catalogue at all.
What are the storage conditions?

The sequence: inventory to online search
Cataloguing is part of a larger workflow. The full sequence, from boxes in a warehouse to searchable online data, looks like this:
- Inventory. Count the boxes. List what is in each one. Assign identifiers. This is the minimum viable catalogue.
- Condition assessment. Check each tape for readability and damage. Flag items that need attention.
- Digitize orphans. Tapes with no other copy, or tapes on obsolete formats, should be transcribed to modern media before they fail.
- Detailed cataloguing. Capture coordinates, products, vintage, and relationships between items. Build the geometry for map display.
- Online search. Load the catalogue into a search tool like WyseSearch so authorized users can find data themselves.
- Ongoing quality. Monitor condition, update the catalogue as items arrive or leave, and flag tapes approaching end of life.
You do not have to do all six steps at once. Many companies start with inventory, add detailed cataloguing over time, and reach online search when the catalogue is mature enough to be useful. The key is to start.
Managed archive versus warehouse storage
A warehouse stores boxes. A managed archive stores boxes and knows what is in them. The difference matters when you need to find something.
Warehouse storage is cheaper per box. Managed archiving costs more but delivers value: a searchable catalogue, condition monitoring, and the ability to retrieve a specific tape within hours instead of days. For seismic data that may be needed for technical decisions, managed archiving is usually the right choice.
For data that is truly dormant—regulatory copies that must be kept but will never be accessed—warehouse storage may be sufficient. But be honest about which category your data falls into. Data you think is dormant has a way of becoming urgent when a deal closes or a drill program starts.

How long does cataloguing take?
It depends on the size of the archive and the level of detail. A basic inventory of a few hundred tapes might take days. A detailed catalogue with geometry and condition assessment for thousands of tapes might take months. Get a timeline estimate before you commit.
